The brief: Our Japan team was tasked with curating a seven-day reward trip through Kyoto and Tokyo for 38 delegates from a leading US energy company. The program was designed to showcase the essence of Japan, where ancient traditions meet modern innovation, through hands-on experiences, iconic landmarks, and moments of genuine cultural connection. From sushi-making and tea ceremonies to vibrant shopping districts and serene temples, every element was crafted to deliver an unforgettable experience. The highlight of the trip was a gala dinner in Kyoto celebrating the elegance and artistry of Japanese culture.
Challenges and outcome: The client requested a sustainable alternative to fresh floral décor for the gala dinner, with a special emphasis on reflecting Japanese culture and the authentic spirit of Kyoto, a city renowned for its geisha heritage. What could have been a creative challenge quickly became an opportunity for our team to craft something truly unique. Drawing inspiration from the welcome night, which featured a geisha performance, we replaced traditional floral decorations with bespoke geisha dolls, creating a meaningful connection between the two evenings. Each guest received a handcrafted doll as a personal keepsake, a lasting reminder of their time in Japan.
Our strong supplier relationships also allowed us to secure a special pre-dinner garden walk at Kitayama Monolith, a rare privilege not typically permitted. This exclusive access added a sense of anticipation and intimacy to the evening, setting the tone for what became a truly memorable event.
