The brief: We were tasked with organising a four-day, three-night incentive trip for 150 staff members of a Bulgarian pharmaceutical firm. The trip was centered around a two-day business conference in Bali, with a balance of productive meetings and leisure experiences to reward top performers.
As is often the case with large events, managing last-minute changes presented some challenges. The client provided changes to the final room requirements and dates at the last minute, and many participants requested to extend their stays to explore more of the island. To add further complexity, the Grand Hyatt Bali, initially chosen as the venue, was fully booked during the requested period.
Our team quickly identified a solution by securing Bali Nusa Dua Beach Hotel as an alternative accommodation. With careful consideration, we prioritised VIP guests and made sure to allocate rooms based on country classifications and other preferences. This allowed us to balance the distribution of guests between the two hotels while ensuring that each participant’s needs were met.
The program itself was carefully curated to blend business with cultural exploration. It began with a welcome dinner by the beach, offering guests a tranquil introduction to Bali’s charm. Over the next two days, attendees participated in business meetings and a cultural team-building activity, where they created traditional Balinese offerings, known as canang. The event concluded with a spectacular Gala Dinner at the Grand Hyatt’s Garden by the Sea, combining cultural immersion with a luxurious celebration.
Despite the challenges of last-minute changes and room allocations, the client was thrilled with the seamless execution and the ability to accommodate their requests sharing ‘Your patience, dedication and super kind smiles were truly appreciated. We could not have done it without you!’
