A perfectly handled conference and gala dinner in Kuala Lumpur

The brief: Our client, a worldwide provider of corporate business services, wanted to bring 68 international executives to a week-long conference in Malaysia and end the event with a celebration gala dinner.

Kuala Lumpur’s fabulous five-star W Hotel was selected, as it had everything the client needed on hand – and all with a high degree of sophistication – not to mention a perfect central location, great places to eat, drink and socialise and some stunning views.

Throughout the week, there were three conferences held, with overlap between the events, which meant meticulous planning was more important than ever. As with any event, it was predicted that there would be last minute changes, like guest numbers, room numbers and conference requirements. So we and the client agreed it would be wise to go through detailed planning sessions, covering the specification and price of every component, plus the costs of contingencies that might arise.

The client had peace of mind and we could go ahead on streamlining the event flow, organising the necessary supplies and assigning tasks to team members, to ensure the event is smooth and seamless. In these planning sessions, we also worked out a plan with the client to collect books that would be distributed throughout the conference and materials used during the event was later donated to three different charities to be reused. The pre-planning proved more than worthwhile and the client declared themselves delighted with the experience and appreciative of our hard work.
