Rapidly Re-creating a Major Event in Phuket with 60 days’ Notice

The brief: The client, one of the world’s largest dietary supplement producers, requested a major incentive trip to Phuket for 700 of the firm’s highest achievers. To add a twist, they requested six different themes on each of the six nights.

One of the world’s largest dietary supplement producers, headquartered in the UK, had planned a major incentive trip to Phuket with us in 2019. 700 of the firm’s highest achievers were due to fly in and attend a meeting, award ceremony and a series of parties in 2020. All the arrangements were made and everything was in place when the coronavirus pandemic struck and the event was off.

Fast forward to April 2023 when we get an email telling us the client is ready to resume the event in June 2023. The pitch and selection process had to be re-staged and, once again, we were chosen to organise it. This was excellent news, of course, but there was a catch: we now had only 60 days left to put it all back together.

We took on the challenge by working tirelessly with the client to come up with six different themes for six nights of festivities, while simultaneously ensuring the production team could deliver them. After numerous weekly calls, hundreds of emails and hours-long conversations, we settled on “Secret Garden,” “Peranakan,” “Tie-Dye & Sip,” “Golden Sunset,” “Tropical Night,” and “Beach Boho” as the theme for each evening.

We’re delighted to report that the final product exceeded the client’s expectations in every aspect, including all transfers, event production, audio-visual facilities, entertainment – and especially in branding the event.
