Coordinating a Multi-stop Tour Over Two Days in Kuala Lumpur

The brief: We were invited to organise a large incentive trip for 660 delegates visiting Kuala Lumpur. As well as showing them around the city and giving them an authentic taste of its culture, we had a lengthy “to-do” list. It included a welcome event with souvenirs handed to each guest, a full-scale business meeting, photo and videographers to record the events, sightseeing trips, and gala dinners.

Perhaps the greatest challenge was simply the large number of guests, which made it impossible for them to travel together in a single group. Opportunities to visit the Kuala Lumpur Tower’s

sky deck and observation deck, to explore the Batu Caves or to watch a demonstration of Malaysian batik-making simply could not cope with those numbers at once. Our solution was to arrange them into manageable groups and stagger the timings of their excursions. Even the celebration dinners at the exotic Tamarind Springs restaurant were held in a series, which actually suited the client who wanted to keep them intimate and regionally based. In the smaller groups they were treated to an array of cultural engagements, none more popular than the traditional bamboo dance that originates from Sabah. Timing was also a challenge we had to overcome, ensuring activities did not start or end during peak traffic hours as this would impact on the timetable of events.

All in all, the event flowed seamlessly from start to finish and the client was delighted. One of the guest groups told us we had made them feel like celebrities, which naturally gave us great satisfaction!
